The post-holiday re-engagement playbook

Getting users back on the platform after extended shutdown times like summer holidays or Christmas requires more than just a standard email. Your employees might be refreshed but also overwhelmed by their work backlog. Your goal should be to make re-engagement frictionless, fun, and highly rewarding right from the start.

This guide provides a few simple, actionable ideas—with exact steps—you can execute on your Haiilo Advocacy platform to drive a swift return to high adoption for your advocacy program.

Idea 1: Add a new channel with easily shareable content  🎯

The Goal: Lead with easy content that earns high rewards, eliminating any decision-making effort from the user. By making it easy for users to discover shareable content and offering double points, you motivate them to return to the platform.

  1. Prep the Channel: Before users return, create a new channel (e.g., "After Holiday Content / Quick & Easy Content") in a global group.
  2. Mark it as Essential/Default: Mark this new channel as Essential or Default for all users, or a specific group or team. This ensures the fun, easy content is the first thing they see, skipping past any backlog.
  3. Add Content: Schedule 3-5 pieces of visual, light, and highly engaging content to be published in the channel around the time most users return. Content ideas include: team photos, funny industry GIFs, light office anecdotes, and interesting news articles.
  4. Set Higher Points: Set the points for the pieces of content to be twice the normal value to instantly increase the sharing reward.
  5. Schedule a Welcome Email: Use the Email Newsletter Builder to schedule an email for the week your ambassadors return, highlighting the easy content and the double points incentive. Additionally, these new posts will also be included in the email digest for users.
    • Example message: "Hey Team! We've filled a new '[Channel_Name]' channel with fun, easy stuff to share. Just log in and click the social icon under a post to share. P.S. Everything in that channel earns DOUBLE POINTS! 🚀"

Idea 2: Set up a short contest with rewards 🏆

The Goal: Encourage quick adoption by creating a short-term contest that offers exciting rewards and friendly competition. Make sure the prizes are appealing enough to motivate everyone to join in, making the experience fun and rewarding for all.

  1. Prep the Contest: Choose a high-reward, short-term contest statement and decide on the prize you can offer. Keep it simple. Examples include:

    Contest Statements: Prizes:
    • "The Top 10 People on the Leaderboard for the Contest Timeframe"
    • "The First 50 People to Share ANY Post during the Contest Timeframe"
    • "Every person who shares at least three posts this week will be entered into a drawing for a grand prize"
    • "The top three teams with the highest percentage of active users during the contest time frame"
    • $30 voucher to a service
    • Company merchandise
    • A home office upgrade (a quality mouse pad, desk plant, or ergonomic cushion).
    • An office snack delivery to the winner's desk
    • A LinkedIn recommendation or shout-out from a Senior Leader
  2. Prep Your Analytics: Decide how you will track the contest. For example, for a leaderboard contest, create a Leaderboard filter for the contest duration (e.g., one week) so users can filter and view their ranking on the leaderboard during the competition. For a sharing contest, use the Advocacy Analytics > # Active Ambassadors pop-up to find sharing users in a timeframe.
  3. Post In-Platform Nudge: Post a featured internal post (with notify users immediately) on the platform that clearly states the prize, the deadline, and the number of winners. 
    • Example message: "🏆 FLASH CONTEST! The top 10 people on the leaderboard with the "Quick Contest" filter win a [prize]! Use the leaderboard filter to track your progress. Time is ticking—share now!"
  4. Celebrate the Winners: After the contest, announce the winners in another internal post. Use notify users immediately to let everyone know the contest has wrapped up and reveal who took home the prizes! Share the prizes with the winners.
  5. Clean Up: After the contest, don't forget to archive the internal post and remove the leaderboard filter to keep your platform tidy. Optionally, ask for feedback on the contest with a short survey.

Idea 3: Nudge individual users based on activity 💌

The Goal: Target inactive users with an email blast with human touch that ensures no user slips through the cracks.

  1. Identify the Targets: In the Users menu, run a user filter to find users who haven't been active since before the holiday season (e.g., Inactive Last 30 Days). Alternatively, target only those users that have shared at least once in the past by adding the Action > Shared filter.
  2. Email Them: Send an email message that's friendly, short, and non-demanding—a human-to-human check-in. Every message from the platform automatically includes a link directly back to your platform. 
    • Example message: "Hope you had a great [Holiday/Summer]! Just saw you hadn't been active in to the platform yet—wanted to make sure you didn't miss the fun. We have some great new content to share with your network! 🚀"

Idea 4: Re-train users on using the platform 🧠

The Goal: Remove the "I forgot how to do it" barrier by providing ultra-simple, visual guidance exactly when users need it most.

  1. Record the 2-Click Refresher: Create a super short visual (a looping GIF or a 15-second screen recording) showing the exact 2-click process of sharing a post. Or, link to Haiilo's how-to video ➡️ Video: Sharing content.
  2. Host the Visual Resource: Upload the video or GIF to an easily accessible internal Resource, then create an internal post linking to it. You can also upload it as part of an image or video post.
  3. Send Quick Links: Send out a quick reminder on internal chat channels (Slack/Teams) to remind your ambassadors about how to use the platform.
    • Example Slack/Teams message: "Hey! If you're feeling rusty on the sharing process, here’s a 15-second visual guide: [LINK TO REFRESHER RESOURCE]. Now that you’re an expert, go earn those points! 😉"
