Working with email folders and templates

By categorizing your emails into folders and using our pre-designed templates, you can save valuable time on your email newsletter creation while ensuring that your messaging is consistent and compelling.

Currently, you can only create single-level folders, not nested folders (folders within folders).

Create a folder

  1. Select New folder.
  2. Give your folder a name.
  3. Select Create.

After creating a folder, you can move emails into it. Emails without a folder are displayed in the Not in folder list that appears under your folders in the Email section.

You can also manage a folder by selecting the > option and choosing either Rename or Delete. When you delete a folder, all the emails contained within that folder will also be deleted.

Move an email to a folder

  1. Select on the row next to an email.
  2. Select Move.
  3. Select a folder into which to move the email.
  4. Select Move.

Once an email is moved, it only appears in the folder and is no longer visible in the Email section list.

All newly created emails - whether sent, scheduled, or in draft - will be listed in the Not in folder list until they are manually organized into a folder. You cannot move multiple emails into a folder at once; they need to be moved individually.

Use a template

Every platform comes with a default folder called Templates. The folder features four user-friendly email templates created by Haiilo's Customer Success team to help you easily craft emails for common scenarios. The templates include:

  • Welcome Back: Reach out to your inactive users with recent popular Advocacy posts for them to share.
  • New Users Onboarding: Welcome new users to your Advocacy program and help them start sharing effectively.
  • Newsletter: Highlight recent posts and top sharers on the leaderboard and promote activity competitions.
  • Advocacy Spotlight: Spotlight your Advocacy program, including highlighting posts, statistics, and your top sharers.

You can use a template by selecting > Use as template. Then, simply edit the email as usual and save it as a draft or send it.

Our templates are flexible and intended to help you get started. You can delete, edit, and rename them, as well as manage the entire Templates folder just like any other folder. Feel free to customize the templates to better suit your needs and even create your own unique versions.
