Creating engaging email newsletters is straightforward. To begin, go to the Emails section in your platform and select New Email. This will open the newsletter editor, where you can design your newsletter, define its audience, and customize it to suit your preferences. You can save your newsletters as drafts, which you can find in the Emails section.
The newsletter editor is split into four sections: Content, Audience, Email info, and Confirmation.
Email clients use different technology to render the HTML of the email. Some email clients (e.g., Microsoft Outlook) do not respect all HTML and CSS standards, and this can cause these clients to not display the design exactly as shown in the editor. Unfortunately, Haiilo cannot influence this.
Content
When designing your newsletter, you have three options to consider: content, layout (rows), and settings.
- Content: You can create and design your email by dragging and dropping content types and filling them with content. Each content type comes with its own settings. Learn more about content types in Content types for email newsletters.
- Rows: You can organize the columns in your email using rows. If you prefer a split layout instead of a single large column, simply drag and drop a multiple-column layout into the email. You can choose to use empty rows or rows that are pre-filled with content types to speed up the creation process.
- Settings: You can set the width, alignment, background color, font, and link color for your email. This customization allows you to tailor the appearance to fit your use case or brand.
Always preview your email on mobile devices to ensure it is legible and visually appealing. Use the icon in the top left corner to check the mobile view.
Audience
To ensure your newsletter reaches the right individuals, you need to define your audience. By default, you can easily add all users on your platform or users in specific groups. You can also search for teams or individual users to more precisely define your audience. When you add recipients, their names and email addresses will appear in an All Recipients list.
Alternatively, you can upload a CSV file containing the email addresses and names of recipients. This allows you to include external users in your recipient list and to email individuals outside your platform.
To remove a specific user from the list, select > Delete next the the user. If you want to remove all recipients, select Clear located at the bottom right of the screen.
Email info
For your reference, you can define an internal name for your newsletter, which will be visible in the Emails section of the platform.
You also need to define an email subject and sender name for your newsletter to capture your audience's attention when the email appears in their inboxes.
When setting an Email subject, we recommend you aim for clarity and intrigue to encourage opens, such as "Project Update: [Project Name]" or "Internal News: Word from the CEO." An email subject line should typically be no longer than 7 words or 50 characters.
When choosing the From name for your emails, consider selecting a name that aligns with your company and appeals to your audience. You might also reference your Employee Advocacy program to emphasize that the email is part of that initiative, such as "AcmeAmbassadors."
The sender's email address is always no-reply@haiilo.com; it cannot be changed.
Confirmation
You can choose a date and time to send your newsletter. The time will be shown in your local time zone. If you want to send your newsletter immediately, select Send email right now.
Furthermore, you can view a summary of your newsletter, including its content, audience, and settings. If you want to make any changes, select Change to return to a previous step.
When a significant number of emails are dispatched simultaneously, it's not uncommon for some of them to experience deferral. This means that instead of all recipients receiving their messages at the same time, some may find their emails arriving later than others.
