Your users will points for completing actions on the platform, and as a Company Admin, you can enable rewards for them to redeem with their points. Rewards are activated for the whole platform but created separately for each group.
Admins are responsible for creating and delivering rewards to users at their company. Haiilo does not manage or deliver any rewards.
Activate rewards
- Go to Administration > Settings > Gamification.
- Check Enable rewards.
- Enter the email addresses of the admins responsible for delivering rewards. These admins will receive an email notification each time a user claims a reward. If this field is left empty, no one will be informed when a user claims a reward.
- Select Save to enable rewards
When rewards are enabled, the Perks menu item will become visible in the navigation bar.
Create a reward
Company or Group Admins can create rewards.
- Select Perks in the navigation bar.
- Choose the group in which you want to add a reward.
- Select + New Reward.
- Upload an image from your computer or provide a URL to an image you would like to use to accompany the reward.
- Provide a title for the reward so users understand what they will receive. For example, "2x movie tickets".
- Provide a detailed description of the reward. Explain what it is, why it makes a great reward, and any requirements for claiming it. Additionally, in this field, you can specify if you need users to submit any information, such as their email address or home address, in order to deliver the reward to them.
- Determine the number of points a user must earn to claim the reward. Ensure that the required points are set at a level that is attainable but not too easy, allowing users to achieve the necessary points without excessive effort. This should align with your strategy for awarding points based on user actions on the platform.
- Once you have finished creating the reward, select Create to publish it.
Your reward is available immediately, and users who have enough points can claim it.
Claim a reward
Users can see and claim rewards in their own group.
- Select Perks in the navigation bar.
- Find a reward you'd like to claim and ensure you have enough points to claim it.
- Select Claim.
- Optionally, write a message to the admins who will be delivering the reward.
- When you're ready, select Claim to send your reward claim.
Now you wait for the admins to deliver your reward. The points for the reward are automatically and immediately deducted from your account on the platform.
Admins responsible for reward management, as entered in the Gamification settings, will receive an email notification when a user claims a reward. The email subject line will be "Haiilo reward claim pending."
Once a reward is claimed, it cannot be canceled, and points cannot be restored.
View reward claims
Admins can view a list of pending rewards and should finalize the claims by delivering the rewards.
- Select Perks in the navigation bar.
- Select X pending claimed item(s) under the title of a reward to view undelivered rewards. The list will display the user's name and their optional message.
- After delivering their reward to them, select Deliver on the platform to mark the reward as completed.
You can view a list of delivered rewards by selecting List of delivered rewards. The list contains details about the claimed reward, the user who claimed it, the admin who marked it as delivered, and the date and time of delivery shown in the ID column according to your local timezone.
