A Company or Group Admin can edit the settings for invitations and registrations. The invitation and registration settings are set on a group level, meaning that each group can have their own policy and settings regarding how users can join the group. You can find the settings under Administration > Settings > choose a group > Invitations & Registration.
Permissions
Who can invite?
In this section, you can decide who can invite new users to join your platform. You can choose between two options:
- Only admins can invite: Only Company or Group Admins can invite new users to join. For instructions on how to invite users to Haiilo, see Invite users by inputting emails.
- Everyone can invite: Everyone, including regular users, can invite new users to join. Users can only invite other users with certain email domains to ensure that they don't invite users from outside your organization. Admins can decide which email domains are allowed in the Email domains field.
Can users self-register?
In this section, you can decide if users are allowed to register for an account to join your platform, or not. You can choose between two options:
- Do not allow self-registration: Users cannot register for an account in this group. They must be invited to join. Alternatively, if your platform uses SSO, users cannot select this group during onboarding.
- Allow self-registration: Users can register for an account in this group themselves. Alternatively, if your platform uses SSO, users can select this group during onboarding.
Users can only register with certain email domains to ensure that people from outside your organization cannot register. Admins can decide which email domains are allowed in the Email domains field.
Email domains
In this section, you can define which email domains users can register with or that other users can invite colleagues with. You should add all the email domains that the employees in your organization use, so that anyone who should be allowed to access your platform can have the option to do so.
If this field is blank, but you have selected either Everyone can invite or Allow self-registration in the other fields, users will see an error when they try to invite colleagues or register for an account.
Email templates
In the email template section, you can create a default message that will be sent with all invitations. Any invitation message you add here will automatically serve as the default for all invitations sent from your platform, including those sent by users. We recommend including an introduction to your Employee Advocacy program as well as any instructions for users on how to use your platform.
Users who can invite colleagues will not be able to edit this invitation message. However, as an Admin, you can edit the invitation message when you create invites for new users to join your platform.
