Onboarding settings

To customize your users' onboarding journey, you can change the title and description of various pages shown to users when they join the platform, define if and which teams can be selected, or add your custom privacy policy to your onboarding flow. You can find these settings in Haiilo in Administration > Settings > Onboarding settings.

Onboarding settings apply to the entire platform, as all users see the same onboarding pages. You cannot define different pages for different groups.

Welcome page

Every user who joins Haiilo is greeted with the Welcome page, which is the initial page displayed upon joining. The default page contains the text shown in the screenshot below. "Your Company Name" is replaced with the name you entered in the General settings on your platform.

You can customize your welcome page by setting a personalized title of up to 40 characters and a description of up to 128 characters.

Group page

If your platform allows users to choose their group, each user who joins will see the Select Group page. You have the option to change the title and description to a custom title with a maximum of 40 characters and a description with a maximum of 128 characters.

Team page

There are two parts to the team page settings:

Teams in onboarding

You can enable team selection during onboarding for your users, allowing them to choose their team(s) themselves. Each user who joins will see the Select your team page(s), which displays a selection of teams they are allowed to join. Users can only join teams that exist in the group they are in.

To enable teams in onboarding:

  1. Toggle Enable team selection.
  2. Decide how many teams users need to join during onboarding. Your choice has an effect on the onboarding journey for users:
    • One team: Only one "Select your team" page is shown with a defined list of teams. Each user only selects one team to join. Users cannot select more than one team.
    • Two teams: First, users see the first "Select your team" page and choose their initial team. Then, after selecting Next, they see another "Select your team" page with a different set of teams to choose from. Each user selects two teams to join, one on each page. If you require users to choose two teams, then every user must select two; a selection cannot be left blank.
    • If you want users to be in more than two teams, you need to add them to the rest of the teams manually.
  3. Select the teams that users can see and choose from. You should choose teams from each of your groups to make sure that there is a team for each user to select. Depending on your choice for the number of teams a user needs to join, you need to configure the following:
    • One team: Select all the teams you'd like available for users to choose from. Since there is only one "Select your team" page shown, all teams you'd like to be available need to be selected.
    • Two teams: In the first box, select all the teams you'd like available for users to choose from on the first "Select your team" page. In the second box, select the teams for the second "Select your team" page. We recommend sticking to a theme for each page to keep it simple. For example, the first page displays a list of country teams to choose from, and the second page lists department teams.

Remember that each user can join only one team per page. We recommend keeping the list of teams short or focused on a single theme to avoid overwhelming the user with multiple options that fit them, which can make it harder to decide which team to select.

Team page title and description

You can change the title and description of the default team page to a custom title of up to 40 characters and a description of up to 128 characters. 

If you require users to select two teams, the same title and description are used on both pages. Make sure your title and description are general enough to make sense on both pages.

Privacy policy page

For the Privacy policy page, you can link to a custom privacy policy that users will have to agree to alongside Haiilo's terms of service and privacy policy. Simply add the link to the privacy policy and the text you want to use to describe the policy. It will be displayed like this:

When you save the edits to the privacy policy, there are two Save options to choose from:

  • Save: Select to save changes for new users to approve your company's privacy policy. Existing users won't be asked to repprove.
  • Save and request reapproval: Select to save the privacy policy changes so that both new and existing users need to reapprove all terms of service and privacy policies the next time they log in.
